Chief Operating Officer (Executive Level)

POSITION DESCRIPTION:
The Chief Operating Officer (COO) will report directly to the President & Chief Executive Officer (President/CEO) will be responsible for the daily administration and operations of the organization. The COO will develop and implement robust operating systems, procedures, and policies to support the organization’s current scale and to facilitate its future growth. The COO will maintain continuous lines of communication with President/CEO, and other senior leaders to be informed of all critical issues. The COO will position contribute to the development of the Network’s strategic goals, objectives, and performance metrics, and will play a senior leadership role in the organization’s overall management.
The COO will act as an adviser, strategist, and implementer to ensure that operations across the Network move forward effectively and efficiently as the offshore wind industry scales exponentially. In the President/CEO’s absence, the COO will act in her place. This position serves as an internal leader and supports the President/CEO in the development of effective leadership and management practices that set the highest standards in business efficiency and fiscal health to create and foster an organizational culture ensuring the long-term functionality and sustainability of the Network.
Essential Responsibilities:
- Responsible for planning, organizing and setting direction of the Network’s daily operations
- Supervise and manage Human Resources, Finance, Technology, Legal and VPs associated with those functions
- Keep the President/CEO informed of significant developments and changes in any of these functional areas
- Evaluate and improve Network operating lead and manage application of procedures and policies on a regular basis according to organizational objectives, improvements and revisions, create new operating procedures when necessary
- Ensure Network is incorporating an operationalizing Maryland Nonprofit Standard of Excellence process and procedures
- Evaluate overall Network operational performance by gathering, analyzing, and interpreting data and metrics
- Maintain the Network’s practice of setting goals and metrics to consistently evaluate programs, projects, products, and services, i.e., Network’s monthly quad chart reporting system, debrief documents, so that a learning culture evolves
- Set operational goals and KPIs (Key Performance Indicators) for departments
- Lead multi-disciplinary teams to implement strategic initiatives and organization-wide projects as they emerge
- Drive coordination and clarity across program initiatives to ensure cohesion, progress towards ambitious goals, and high-quality programming; identify, address, and resolve barriers to ensure effective implementation within and across teams
- Work closely with the VP of Technology to identify, implement, and manage IT solutions, including CRM systems, digital staff workspace, cyber security, and collaboration platforms for staff and members
- Review all material, legal documents, and contracts, including grant agreements, business and vendor contracts, subcontracts, and terms of service. Consult with and implement recommendations to ensure compliance with federal, state, and local regulations and standards when applicable.
- Coordinate legal issues with external Network counsel, especially in the areas of labor and employment law compliance, governance, trademarks, copyrights, licensing
- Serves as lead negotiator for material contracts and grants
- Guide the Finance team in the development of sound and compliant financial management practices and models including budget and analyses of financial data to drive key operational decisions
- Provide review and oversight of financial information and reports
- Work with VP Finance and/ or contract certified public accountant to manage all Network revenue generators and related budget management, cash flow, and monthly to quarterly review processes, grant deliverables and work plans, and related systems
- Support recruitment and talent retention strategies. Manages the Network’s human resource function including the full cycle of job design, recruitment, onboarding and orientation, training evaluation and performance reviews, promotions and salary adjustments, job transfers and transitions, and separations, etc.
- Provides leadership and ensures appropriate financial and staffing plans for all departments
- Manage physical facilities, assets, and remote office.
QUALIFICATIONS AND EXPERIENCE:
- Bachelor’s Degree required, Nonprofit Administration Masters Degree preferred or nonprofit management certificate
- Minimum of 10 years senior management experience in a nonprofit
- Strong contract negotiating skills
- Exceptional oral, and written communications skills, including presentation skills
- Ability to establish effective working relationships with internal and external constituencies

Senior Support Assistant

POSITION SUMMARY:
The Network is searching for a Senior Support Assistant who reports directly to the Chief of Staff. The Senior Support Assistant is responsible for managing the day-to-day calendar and provides executive-level administrative support for the Executive Office team and Chief of Staff.
The assistant must be highly organized, diligent, proactive, and enjoy working within an entrepreneurial environment that is mission focused, results driven, and community oriented. This individual will have responsibility for providing a full-range of executive level administrative support and project management to the President and CEO, and executive staff, including work of a highly confidential and complex nature that requires considerable discretion, judgment, flexibility, decision-making, and attention to detail. The Senior Support Assistant works closely with the Chief of Staff, CEO and Executive team to coordinate, execute and manage the administrative functions of the Executive Office.
This person must have the ability to exercise professionalism, discretion, and good judgment in a variety of in/formal and non/public situations with strong written and verbal communication, administrative, and organizational skills, and the ability to maintain balance among multiple and competing priorities.
This position will be required to be able to work onsite at the Network office daily.
POSITION FUNCTIONS & RESPONSIBILITIES:
- Oversee scheduling and calendar management of Executive Office (CEO, Sr. VPs) including scheduling internal and external meetings, travel, external events and speaking engagements by engaging with both internal and external stakeholders in multiple U.S. and global time zones
- Working with the Chief of Staff by vetting scheduling requests (internally and externally) against organizational priorities and Executive office leadership roles to better organize the Executive Office team member’s calendar and responsibilities, make judgements and recommendations before scheduling, prioritize inquiries and requests while troubleshooting conflicts; consult on changes
- Provide contact and follow-up with external offices/requests to schedule and confirm appointments
- Stay ahead of all organization events and the Executive team meetings and appointments to quickly respond and adjust to changes in schedules.
- Collaborating with Chief of Staff to keep the Executive Office team well informed of upcoming commitments and responsibilities, and follow up appropriately
- Working with COS determine staff who should be included in meetings
- Prepare daily calendar along with nightly briefing packet to the Executive Office team
- Coordinates and manage all logistics for complex and continually changing domestic and international travel; maintains reward travel program information for all Executive Office team and Chief of Staff
- Prepare logistics memos for out-of-office appointments including meetings, events, speaking engagements and international and domestic travel; updates and communicates changes to schedule for Executive Office team
- Maintain up-to-date board member information
- Schedules quarterly BOD meetings with direction from Chief of Staff
- Coordinate all aspects of the quarterly Board of Directors (BOD) meetings including ensure any technical requirements for meetings are met
- Schedule BOD committee meetings as needed, be they virtual or in-person. Assist BOD with travel arrangements and lodging, as needed.
- Assemble board packets and board binders for new Director members
- Schedule Board of Director applicant interviews and board orientation, collect applications.
- Provide Executive support of a complex, time-sensitive, detailed and confidential nature
- Follow up on contacts made by the Executive team that supports the cultivation of ongoing relationships – scheduling follow-up meetings and phone calls, emailing and mailing materials.
- Responsible for all executive level data entry and maintaining accurate contact information in the Network database
- Complete a broad variety of administrative tasks that facilitate the Executive Office’s ability to effectively lead the organization, including assisting with special projects; designing and producing complex documents, reports, and presentations; collecting and preparing information for meetings with staff and outside parties; composing and preparing correspondence; maintaining contact lists; making travel arrangements; and completing expense and mileage reports.
- Respond promptly to managers’ queries and assist with requests from senior management for notes, documents, and meeting information as needed

EDUCATION & EXPERIENCE:
- Bachelor’s degree preferred
- Strong work tenure:3 to 5 years of experience supporting C-Level Executives, preferably in a non-profit organization or government role

POSITION SUMMARY
The Business Network for Offshore Wind (the Network) is hiring for an IPF Sr. Event Program Director. This position will help support growth and revenue goals and work directly with senior-level leadership. We are looking for a director, who can develop new ideas for delivering event content interactive and innovate ways that help expand attendee and member engagement.
POSITION SUMMARY
EVENT PROGRAM DEVELOPMENT:
- Assume full project ownership of the IPF program/agenda from a content perspective and ensure that program production runs on deadline and on schedule working closely with cross- functional teams
- Write and produce commercially viable conference program market including workshops, panel discussion topics, keynote speaker presentations and facilitated discussion and networking opportunities for delegates
- Conduct in-depth market research on conference topics and themes to ensure relevance and timeliness of conference agendas and content
- Utilize desktop research, phone and face to face interviews, trade magazines and colleague input to identify key topics, debates, industry challenges and opportunities for discussion
- Research important industry topics and keep up to date with industry trends to ensure streams of content are relevant to our audience
- Develop relationships with key industry leaders and board members representing multiple facets of the supply chain
- Develop conference agendas and themes that are compelling for the yearly IPF meeting
- Prepare all panels, including running panel preparation calls and providing notes, updated throughout conference series where appropriate.
- Work with conference sponsors to ensure integration into the programs appropriately with the best speakers to cover designated topics
- Liaise daily with program and policy, membership and business development to leverage and consolidate ideas, shared resources and cross sell event opportunities
- Research and draft interview questions for panels, and WindTV
RECRUITER & SPEAKER MANAGEMENT:
- Manage the workshop submission process
- Manage the IPF Advisory Committee
- Curate a list of event speakers that will be interesting and a draw for attendees
- Source, select, and secure the participation of high-level speakers through research, networking, and existing contacts to achieve your target requirements
- Recruit and prepare conference moderators/chairs
- Recruit and manage the IPF advisory board(s) for assigned conferences
- Recruit outside speakers for assigned conferences
- Liaise with both marketing and speakers on agenda development and presentations, review all presentations for relevancy and messaging
- Develop, implement and maintain a member speaker’s bureau using Salesforce in order to enable identifying on members for speaking roles and developing agenda content
GENERAL/ON-SITE RESPONSIBILITES:
- Must be available to travel to assigned conferences
- Manage conference agenda running order on conference day (on-site), ensuring proper flow of agenda and speaker preparedness
- Facilitate networking opportunities for delegates on-site through curated discussions in the program
EDUCATION AND EXPERIENCE:
- Proven success as an event program planner or coordinator of in-person and digital events (5 to 7 years of professional experience with steadily increasing job responsibilities)
- Experience in journalism, communications and marketing a plus
- Experience and/or knowledge of offshore wind energy or alternative energy highly desirable
